C-Tac®, Civilian Tactical Coach, the Civilian Tactical Training Association, and CivTacCoach.com are operated by Alan Baker Consultations, Inc., a Georgia corporation, referred to in this Privacy Policy as the “Company,” “C-Tac,” “we,” “us,” or “our.”

For purposes of applicable privacy and data-protection laws, Alan Baker Consultations, Inc. is the business or data controller responsible for the personal information described in this Policy.

Scope of This Privacy Policy

This Policy applies to information collected through:

• CivTacCoach.com and associated pages or subdomains.
• The C-Tac Student University and Online Video Academy.
• The C-Tac Instructor Program and affiliate program.
• Student, instructor, affiliate, and membership registrations.
• Instructor applications, evaluations, certifications, and renewals.
• The public C-Tac Instructor Directory.
• Student forums, member discussions, and support requests.
• Training camps, seminars, range days, private training, and events.
• Email journeys, newsletters, contact forms, and direct communications.
• Purchases, subscriptions, licensing payments, and event registrations.

This Policy does not govern independent C-Tac instructors, affiliated academies, training partners, event hosts, employers, or external websites. Those parties are responsible for their own privacy practices.

Personal Information We Collect

The information collected depends on whether you are a website visitor, Student University member, Instructor Program participant, affiliate, directory member, event participant, or email subscriber.

Identity and Contact Information

• Name, email address, telephone number, and general location.
• Username, account identifier, display name, and login information.
• Age or confirmation that you meet the applicable age requirement.
• Photograph, biography, and profile information you choose to provide.

Student and Membership Information

• Membership plan, registration date, billing interval, and membership status.
• Course enrollment, lesson access, progress, and completion information.
• Curriculum phase, level, rank, testing, or advancement information.
• Forum participation, questions, comments, and support requests.
• Event, seminar, camp, range-day, or private-training registrations.

Instructor and Affiliate Information

• Professional role, academy, school, business, or organizational affiliation.
• Martial-arts, self-defense, firearms, security, military, law-enforcement, coaching, or instructional experience.
• Training history, qualifications, certifications, licenses, and references.
• Instructor phase, rank, certification status, affiliate status, and renewal information.
• Testing, camp attendance, evaluations, continuing education, and instructor development records.
• Intended use of C-Tac curriculum, marketing materials, and teaching resources.

Transaction Information

• Memberships, events, courses, services, or products purchased.
• Payment date, amount, billing status, refunds, and transaction identifiers.
• Limited billing information received from the payment processor.

We do not ordinarily receive or store complete payment-card numbers. Payment credentials are processed by the payment provider identified during checkout.

Website and Technical Information

• IP address, browser, operating system, device type, and language.
• Pages viewed, links selected, referral sources, and visit duration.
• Login activity, device access, security events, and suspected account sharing.
• Cookie identifiers, analytics information, and approximate geographic information.
• Error reports, website-performance information, and security logs.

Communications and Submitted Content

We do not ordinarily request detailed medical records. If you voluntarily provide health-related information, we will use it only as reasonably necessary for safety, accommodation, incident response, legal compliance, or the purpose for which it was submitted.

• From a parent or legal guardian managing a teenage student’s account.

• Create and administer student, instructor, and affiliate accounts.
• Provide access to courses, videos, manuals, forums, and curriculum resources.
• Administer instructor applications, evaluations, testing, certification, and advancement.
• Manage affiliate status, licensing, renewals, camps, and professional development.
• Operate and update the public Instructor Directory.
• Process memberships, subscriptions, purchases, registrations, renewals, and refunds.
• Track course access, participation, progress, agreement acceptance, and curriculum updates.
• Provide technical, account, training, and member support.
• Send educational journeys, newsletters, program updates, and event announcements.
• Improve the website, Academy organization, curriculum, and member experience.
• Detect account sharing, fraud, unauthorized access, and curriculum misuse.
• Protect students, instructors, the public, the Company, and C-Tac intellectual property.
• Investigate safety incidents, complaints, professional misconduct, or agreement violations.
• Comply with tax, accounting, insurance, contractual, and legal obligations.

C-Tac Student University

Student University provides members with student-level curriculum, videos, manuals, seminar and camp recordings, drills, preparedness material, EDC concepts, forums, and continuing updates.

We may process student information to:

• Confirm membership status and provide appropriate course access.
• Record course participation, progress, rank, and curriculum level.
• Provide training support and answer questions.
• Administer live events, testing, or advancement.
• Communicate curriculum, safety, and Academy updates.
• Enforce student agreements and protect restricted materials.

Course activity reflects use of the online platform. It does not by itself establish practical proficiency, physical readiness, certification, or authorization to teach C-Tac.

Instructor and Affiliate Program

The Instructor Program provides access to advanced curriculum, instructor archives, training camps, teaching resources, marketing materials, certification pathways, mentorship, and program-development resources.

We may collect and retain instructor and affiliate information to:

• Review applications and communicate with candidates.
• Evaluate training history, suitability, and professional goals.
• Administer instructor phases, testing, certification, renewal, and advancement.
• Document curriculum authorization and current standing.
• Manage affiliate licensing, monthly payments, and program benefits.
• Provide instructor-only curriculum, manuals, meetings, camps, and marketing materials.
• Verify current or historical instructor and affiliate status.
• Prevent credential, curriculum, and brand misuse.

Instructor and certification records may be retained after a person leaves the program or allows certification or affiliate status to expire. These records help verify historical credentials, administer reinstatement, prevent misrepresentation, and protect the C-Tac curriculum and brand.

Instructor and affiliate decisions may involve human review. We do not rely exclusively upon automated decision-making to determine certification or professional standing.

Public Instructor and Affiliate Directory

Current instructors and affiliates may be listed in the public C-Tac Instructor Directory. Directory information may include:

• Name and photograph.
• C-Tac phase, certification, or affiliate status.
• Academy, school, business, or organizational affiliation.
• Professional biography and qualifications.
• City, state, region, postal code, or general service area.
• Business telephone number and professional email address.
• Business, academy, or professional website links.

We will not intentionally publish payment credentials, account passwords, private application records, government identification numbers, or detailed medical information in the directory.

Instructors may request correction of directory information. C-Tac may remove or update a listing when certification or affiliate status changes, expires, is suspended, or is revoked.

Forums, Community Areas, and User Content

Student University or Instructor Program members may have access to forums, discussions, comments, meetings, or other community areas.

Information you post may be visible to other members, instructors, moderators, or administrators. Do not post:

• Private addresses or personal identification numbers.
• Payment information or account passwords.
• Confidential client, employer, agency, or operational information.
• Sensitive medical, legal, or security information.
• Information about another person without appropriate permission.

We may review, moderate, edit, restrict, or remove content to enforce community standards, protect members, respond to complaints, preserve security, or comply with law.

Forum content may remain in conversation threads or administrative records after an account is closed when needed to preserve context, enforce agreements, or protect legal rights. Where appropriate, identifying information may be removed or anonymized.

MemberPress Accounts and Course Activity

C-Tac uses membership and course-management technology, including MemberPress, to administer accounts, access permissions, memberships, subscriptions, courses, forums, and protected resources.

We may process account activity to:

• Authenticate users and protect accounts.
• Provide student or instructor access appropriate to membership and status.
• Track course activity and curriculum updates.
• Document acceptance of policies, agreements, and liability waivers.
• Resolve technical or customer-support issues.
• Identify unauthorized account sharing, copying, or access.
• Protect instructor-only and member-only curriculum.

You are responsible for protecting your username and password and notifying us promptly if you suspect unauthorized account access.

Payments, Subscriptions, and Affiliate Fees

Student memberships may be billed monthly or annually. Instructor, affiliate, event, camp, certification, or licensing programs may use one-time or recurring payments as disclosed during enrollment.

Payments may be processed by Stripe or another payment provider identified at checkout. Payment providers may collect:

• Name and billing information.
• Payment-card or bank information.
• Device and transaction information.
• Fraud-prevention and authentication information.

We generally receive transaction status, amount, date, limited billing details, and transaction identifiers rather than complete payment-card numbers.

Email, Orientation Journeys, and Communications

We may use Mailchimp or another communication provider to manage email subscriptions, orientation journeys, instructor communications, curriculum updates, educational messages, event announcements, and newsletters.

Marketing emails are sent with consent or another lawful basis where permitted. You can unsubscribe using the link contained in each marketing message.

Unsubscribing from marketing does not prevent necessary communications concerning:

• Purchases, subscriptions, renewals, or payment issues.
• Account access and security.
• Events, camps, or programs for which you registered.
• Certification, instructor, or affiliate status.
• Curriculum, safety, or professional-standard updates.
• Changes to agreements, waivers, or privacy practices.

Mailchimp is operated by Intuit. Its privacy practices are described in Intuit’s Global Privacy Statement .

Cookies, Analytics, and Similar Technologies

The website may use cookies, local storage, pixels, and related technologies to operate the platform, remember preferences, secure accounts, understand website activity, and measure communications or campaigns.

Essential Cookies

Essential cookies support login, account security, checkout, membership access, fraud prevention, saved preferences, and website operation.

Analytics Cookies

C-Tac courses and website pages may contain video, audio, forms, maps, social content, and other materials delivered by third-party platforms such as YouTube, Vimeo, Google, Mailchimp, or payment providers.

These providers may receive your IP address, device information, cookie identifiers, account information, and interaction information when their content loads or when you interact with it.

Third-party handling of personal information is governed by the provider’s privacy policy.

When We Disclose Personal Information

We may disclose personal information when reasonably necessary to operate C-Tac, including to:

• Website hosting, WordPress, MemberPress, course, forum, security, and technical providers.
• Payment processors, banks, accountants, and financial providers.

• C-Tac instructors, evaluators, staff members, moderators, and event personnel.
• Professional advisers, attorneys, insurers, accountants, and auditors.
• Employers, academies, agencies, or organizations when you request or authorize credential verification.
• Training partners or event hosts when needed to administer an event for which you registered.

Service providers receive information only as reasonably necessary to perform their services, protect security, comply with law, or fulfill the purposes described in this Policy.

Sale, Sharing, and Targeted Advertising

We do not sell student lists, instructor lists, certification records, email addresses, or personal information for monetary consideration.

Some privacy laws define “sale” or “sharing” broadly enough to include certain advertising, analytics, or cross-context behavioral-advertising technologies even when money is not exchanged.

If C-Tac uses technologies subject to these definitions, we will provide any legally required notice and opt-out mechanism.

How Long We Retain Information

We retain information only as long as reasonably necessary to:

• Provide active memberships and Academy services.
• Administer student rank, instructor certification, affiliate status, and renewals.
• Verify current and historical credentials.
• Prevent credential, curriculum, account, and brand misuse.
• Maintain transaction, tax, accounting, and insurance records.
• Resolve disputes and enforce agreements.
• Maintain safety, incident, and professional-conduct records.
• Comply with legal and regulatory obligations.

Instructor, affiliate, certification, waiver, and agreement-acceptance records may be retained after membership ends because they document historical status, authorization, policy acceptance, and intellectual- property rights.

Marketing information is retained until you unsubscribe or request deletion, subject to retaining a limited suppression record to honor your opt-out.

When information is no longer reasonably needed, it may be deleted, anonymized, or securely archived.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

No online transmission or storage system can guarantee absolute security. Members are responsible for using strong passwords, protecting login credentials, and reporting suspected unauthorized access.

Depending on your location and applicable law, you may have the right to:

• Request access to personal information we maintain about you.

• Request deletion of certain information.
• Request restriction of or object to certain processing.

We may retain information when necessary to maintain certification, rank, transaction, waiver, safety, fraud-prevention, intellectual-property, or legal records.

International Visitors and Legal Bases

C-Tac is operated from the United States. Personal information may be transferred to and processed in the United States or other locations where our service providers operate.

Where laws such as the General Data Protection Regulation apply, we may rely upon:

• Performance of a contract or steps requested before entering a contract.
• Compliance with legal obligations.
• Our legitimate interests in operating, securing, and improving C-Tac.
• Our legitimate interests in administering certifications, memberships, and intellectual property.
• Your consent where consent is required.
• Protection of vital interests in appropriate safety or emergency circumstances.

International users may have the right to complain to the data-protection authority responsible for their location.

Age Requirements and Children’s Privacy

Student University

Individuals must be at least 18 years old to establish a Student University account independently.

A student between 13 and 17 may participate only through an account established, accepted, and supervised by a parent or legal guardian. The parent or guardian is responsible for account information, consent, payment, training supervision, and determining whether content is appropriate for the minor.

Instructor Program

Instructor Program applicants, certified instructors, and affiliates must be at least 18 years old.

Children Under 13

Children under 13 may not create accounts, purchase memberships, join the Instructor Program, or submit personal information through C-Tac registration systems.

If we learn that personal information was submitted by a child under 13, we will take reasonable steps to delete it. Contact sifu@sifualanbaker.com if you believe a child has submitted information.

External Websites and Training Partners

C-Tac may link to independent instructors, academies, partners, event hosts, equipment providers, social-media services, and educational resources.

We do not control and are not responsible for the privacy, content, security, training, or business practices of independent websites or organizations. Review their policies before submitting information.

Changes to This Privacy Policy

We may update this Policy to reflect changes in C-Tac programs, memberships, technology, service providers, business practices, or legal obligations.

The effective date and version number will be updated when changes are published. Material changes may also be communicated by email, account notice, or renewed acceptance where appropriate.
